The 7th Convocation at Panipat Institute of Engineering and Technology, Samalkha is scheduled to be held on January 27, 2024 (Saturday). Prof. Rajive Kumar. Member Secretary, AICTE will deliver the Convocation Address and honour all academic programme graduands with degrees.

Invitation

It is a pleasure to invite you to attend the 7th Convocation at Panipat Institute of Engineering and Technology and receive the degree in person. The Institute also has the pleasure of inviting your parents and spouse (if you are married) to join us on this pleasant occasion. However, we will not be able to accommodate children at the Convocation Venue. Please visit our website www.piet.co.in for more details.

Pre-Registration

The graduands interested in receiving their degree during the Convocation are advised to pre-register online. Since all the events of the Convocation are time-constrained, and the logistics depend upon the actual number of students attending the Convocation, you are requested to pre-register on or before January 22, 2024, to ensure a smooth and successful flow of the event.

Accommodation

Limited accommodation is available in the campus. Arrangements will be made in boys’ and girls’ hostels for the stay of degree recipients. Accommodations will be provided on a first-come first-served basis at a charge of Rs. 200 per night per person, inclusive of dinner and breakfast. Degree recipients must inform us in advance to facilitate the necessary arrangements. You are advised to contact the hostel coordinator for accommodation in the campus.

GUIDELINES AND IMPORTANT INFORMATION
Punctuality

Convocation is a solemn occasion; therefore, maintaining decorum and punctuality is essential. You are requested to complete all the formalities, including registration, gown security and rental deposit, and gown collection, occupying the respective seats at the designated places at the Convocation site on time, entry will be closed at 10:00 am sharp so all are requested to reach campus at 9:00 am.

Registration details
  • Registrations need to be completed by each graduand by January 22, 2024, through the link provided.
  • You are required to report at the counter designated for your respective department along with your pre-confirmed guests. Unconfirmed graduands and guests will not be permitted.
  • A registration charge of Rs. 1500 needs to be paid by the graduands in online mode only (through the provided link). Rs. 1000/- will be deducted, out of which Rs. 500/- will be refunded upon the return of the Gown Set after the Convocation is over.
  • Registration payments should be made through online mode only, and the last date for registration is January 22, 2024. Payments made after this date will incur an additional charge of Rs. 500 for graduands.
  • For each additional guest, up to a maximum of two (either parents or spouse), a graduand will be required to pay an additional fee of Rs. 500 per guest. These accompanying guests are not permitted to sit at the site of the Convocation ceremony (only graduands will be there).

Convocation Gowns & Caps
  • The Convocation Gown set for the Convocation ceremony will be made available at different venues (which will be notified later) between 9:00 am and 10:00 am.
  • All degree recipients must wear the Convocation Gown sets during the Convocation ceremony.
  • After the Convocation, please ensure that you return the complete gown set (gown and cap)
Seating in the Convocation site
  • The entry gates to the Convocation site will open at 9:00 am. Please proceed to the Convocation site after you have collected your gown.
  • The seating plan for the graduands is as per the PG & UG programs.
  • All the winners of the medals will be seated in the designated area separately.
  • Proctors and faculty members from your institute will be there to assist you.
  • You are requested to be seated by 10:00 am in the designated areas at the Convocation site.
  • Briefing and rehearsal will be conducted from 10:00 am to 10:30 am.
Important Instructions to Degree Recipients
  • Unlike any other social or cultural function, the Convocation is a very solemn occasion, hence discipline & complete silence must be maintained at all costs during the convocation ceremony.
  • Graduates are not allowed to enter the Open Air Theatre (OAT) (Degree distribution venue) after the scheduled time.
  • Graduates are not allowed to leave the convocation venue before the completion of the convocation ceremony.
  • Graduates are not allowed to take selfies once they enter the OAT, neither any talks, murmuring, whispering, gossip be carried out.
  • Any pleasantries be shared by the graduates before entering the pandaal, however, pindrop silence be maintained while being in the OAT.
  • Further participation of those Convocation attendees will not be allowed who will be found using phone anytime during the entire Convocation ceremony.
  • Solemnity of the occasion demands that the program timings are treated as sacrosanct. This requires that all attendees report at the venue on scheduled time. Delay will cause dismay to latecomers & others.
Notable points
  • For the Convocation ceremony, formal attire and appropriate footwear are compulsory, in line with the sanctity and decorum of the event. All degree recipients are required to wear convocation gowns during the ceremony.
  • Convocation proceedings will commence at 11:00 am after the Academic Procession has entered the site.
  • Please rise from your seats when the Academic Procession enters the Pandal and keep standing until the members of the procession take their seats on the stage.
  • You are requested to maintain complete silence during the Convocation proceedings, as it is a very solemn occasion.
  • Please do not throw your caps in the air while you are seated at the Convocation site and maintain discipline.
  • Please keep your mobiles switched off during the entire proceedings.
  • Please stand up again when Convocation proceedings are over, and the Academic Procession leaves the site, and remain standing until the Procession has left the site.
  • You are requested to move out of the Convocation site from the marked “EXIT points” only.
Hospitality
  • Please take special care of your parents/guests accompanying you.
  • After the Convocation, kindly return the complete Gown Sets.
  • Lunch will be served to graduates and their guests at the Old Canteen Lawn between 2:30 pm and 3:15 pm.
  • The Alumni Meet will commence at 4:00 pm.
Photography
  • To ensure the discipline and smooth conduct of the process, any form of photography or videography is not allowed during the convocation.
  • Photographs of the ceremony can be obtained directly from the officially appointed photographer later.
